This Privacy Policy explains how SubieEvents, LLC (doing business as Wicked Big Meet, Subiefest, Boxerfest, Big Northwest Subaru Meet, “SubieEvents”, “we”, “us”, “our”) collects, uses, discloses, and retains information when you visit or use our websites and services (collectively, the “Services”), including event sites such as subiefest.com and the related pages that link to this Privacy Policy.

1) Information We Collect

We collect information in the following ways:

  • Information you provide directly: for example when you buy tickets, create or manage an attendee profile, register for a car show or motorsports activity, sign up for emails or SMS, enter raffles, apply to volunteer, register as a vendor or sponsor, submit photos or build information, or contact us.
  • Information collected automatically: for example IP address, browser or device information, pages viewed, referral/source data, cookie or similar technology data, and site interaction information.
  • Information from third parties: for example payment processors, email or SMS vendors, analytics providers, and vendors or sponsors interacting with us as part of event administration.

Examples of categories we may collect include:

  • Identifiers and contact details: name, display name, email address, phone number, mailing address, city, state, ZIP/postal code, and similar identifiers.
  • Transaction and event records: tickets purchased, registrations, event participation category, and related order history. Payment is processed by third-party processors; we do not store full payment card numbers.
  • Profile and vehicle information: vehicle year/make/model/trim, build or mod information, profile photos, vehicle photos, social handles, and other profile content you choose to provide.
  • Public profile and participation details: public profile URL, public-profile settings, and information about activities such as attendee participation, car show participation, autocross, rallycross, volunteer activity, or raffle check-ins.
  • Communications and consent metadata: support messages, unsubscribe/suppression status, sponsor or partner selections, marketing preferences, and related opt-in metadata.
  • Internet or network activity: IP address, browser or device information, analytics identifiers, pages viewed, and referral/source information.

2) How We Use Information

We use information to operate, maintain, and improve the Services, including to:

  • Process purchases, registrations, check-ins, and other event services.
  • Communicate with you about purchases, registrations, schedule changes, reminders, support issues, and other transactional matters.
  • Host, display, moderate, and manage attendee profile content and other user submissions.
  • Administer optional sponsor or partner lead-share and marketing programs where you make those selections.
  • Measure sponsor, partner, and marketing program performance.
  • Maintain consent records, unsubscribe records, suppression lists, and related compliance records.
  • Support safety, security, fraud prevention, debugging, abuse prevention, and legal compliance.
  • Analyze and improve our events, website experience, and operational workflows.

3) Public Profiles

Some Services allow attendees to publish a public profile. If you choose to make a profile public, it may include your display name, vehicle information, build or mod information, photos, social handles, event participation details, and a public profile URL.

Public profiles are separate from sponsor or partner sharing preferences. Making a profile public does not by itself authorize us to disclose that profile data to sponsors or partners for their own marketing. You can change profile visibility from your dashboard where available.

Public pages may be viewable by search engines or copied, cached, indexed, or shared by third parties outside our control. If you later hide or delete content, some archived or cached copies may persist for a period of time.

4) How We Share Information

We may disclose information in the following categories of situations:

  • Service providers and processors: we use third parties to help us operate the Services, such as payment processors, email delivery vendors, SMS vendors, hosting providers, security vendors, and analytics or measurement providers. These parties process information on our behalf or provide services to us.
  • Independent vendors, sponsors, and partners when you opt in or direct us: some event experiences allow you to request information from, or opt in to receive marketing from, specific sponsors, vendors, or partners. When you do, we may disclose the categories of information you selected for sharing, which may include identifiers and contact details, event participation details, vehicle and build information, profile content such as photos and social handles, public profile URL, and opt-in metadata. These companies are independent third parties and may use the information they receive under their own privacy notices.
  • Advertising, analytics, and measurement partners: we may use analytics, advertising, social, or measurement technologies to understand traffic, measure promotions, and improve our marketing. Depending on your location and applicable law, some of this processing may be considered “sale,” “sharing,” or targeted advertising, and you may have the right to opt out.
  • Legal, safety, and business transfer scenarios: we may disclose information when reasonably necessary to comply with law, protect rights or safety, investigate fraud or abuse, enforce our Terms, or in connection with a merger, financing, acquisition, or sale of assets.

Important: once information is disclosed to a sponsor, vendor, or partner you selected, future disclosures can usually be stopped prospectively, but information already exported or delivered may not be fully retrievable. For future communications from that company, use that company’s unsubscribe method or privacy contact as well as any controls we provide.

5) Your Choices

  • Email marketing: you can unsubscribe using the link included in marketing emails. Transactional emails related to purchases or registrations may still be sent as necessary.
  • SMS: if you sign up for SMS, you can stop messages by replying STOP or by using other instructions included in the messages.
  • Public profile visibility: where available, you can update whether your attendee profile is public from your dashboard or account settings.
  • Sponsor or partner choices: some flows let you opt in to receiving communications from specific companies. You can manage those settings where the Services provide that functionality.
  • Cookies and similar technologies: you can use our cookie banner, browser controls, and any other controls described in our Cookie Policy.
  • Privacy choices: depending on where you live, you may have additional privacy rights or opt-out choices. See Privacy Choices.

6) Privacy Rights (U.S.)

Depending on your state of residence and applicable law, you may have rights such as access, deletion, correction, portability, and opting out of certain processing, including some forms of targeted advertising or “sale”/“sharing” as those terms are defined by some laws.

Where applicable, we also interpret a recognized browser-based privacy signal such as Global Privacy Control (GPC) as a request to opt out of optional analytics, advertising, or similar sharing for that browser, unless you make a more specific site-level choice. Those choices generally apply prospectively and do not necessarily reverse prior processing.

7) Retention, Export Logs, and Security

We retain different categories of information for different periods depending on operational need, legal requirements, dispute resolution, security, and compliance. For example, we may retain transaction records, profile content, opt-in logs, export logs, and unsubscribe or suppression records for as long as reasonably necessary to run the Services, document choices made through the Services, prevent repeated unwanted communications, and comply with legal obligations.

We use administrative, technical, and physical safeguards designed to protect information. No security measure is perfect, and we cannot guarantee absolute security.

8) Children and Minors

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us.

Where a sponsor or partner lead-share program is involved, known minor data may require additional restrictions or exclusion from sharing, depending on applicable law and the circumstances.
